Use names for documents, not identifiers
An index can say identification record, prior return copy, or income statement without reproducing private identification numbers. Include the document date and the question it supports. Keep the sensitive document itself in a secure location and reference it by that index entry when planning what may need to be reviewed.
Make differences visible without resolving them by guesswork
If two records use different name or address information, write a short note explaining the difference you observed. Do not alter an original to make it appear consistent. Identify what source could clarify the situation and ask the qualified reviewer which evidence is appropriate. This exercise organizes records; it does not determine an identification or filing requirement.
Track a confirmed handoff
Before sharing an indexed record, confirm the recipient and method independently. Note the date, the document version, and the purpose of the transfer in your own file. Ask about retention and any later use of the material. Keep a copy of the list you supplied so that subsequent requests can be understood against the actual earlier exchange rather than from memory.
